Reporting Relationship

The Director of Operations reports to the CEO, and attends all Board meetings.

Overall Purpose

The Director of Operations is responsible for governance and operations for Edinburgh City Mission. With specific oversight of finance, fundraising, IT, HR, communications, building management and governance; including Data Protection; Safeguarding and Health & Safety. As such, they lead & line manage the Operations team and will regularly report to the Board on all aspects of their role.

Hours of Employment

35 hours a week, worked flexibly with at least 4 days a week in the office. Hours will vary due to occasional staff meetings, training, events, etc.

Edinburgh City Mission is committed to sharing the Christian gospel with the people of Edinburgh. It is essential that every member of the team personally own, communicate and implement the aims and objectives of the Mission, sharing the Mission’s core beliefs and values to the public. Therefore there is a requirement for the post-holder to be an evangelical Christian.

Job Details

Operations, IT and Communications:

  • Line manage the Operations team (currently 4 FTE)
  • Responsible for assessing Edinburgh City Mission’s IT and other technology needs and sourcing these as required.
  • Provide ongoing management of technology needs.
  • Provide strategic direction of communications channels (content to be shaped by CEO)

Health & safety and building management:

  • Manage the office facilities at Washington Lane
  • Responsible for negotiating and managing business contracts, services and leases of equipment.
  • As Health and Safety Officer, develop, maintain and report on health and safety policies and procedures for both the office and the outreach teams.
  • Manage and report any health and safety incidents appropriately.
  • Oversee investment property

Fundraising & finance:

  • Oversee the day to day finance operation of the charity.
  • In liaison with the Finance Trustee, draft and manage the budget and accounts for auditing.
  • Oversee the payment of bills, invoices, expense claims, payroll processing etc.
  • Oversee the reconciliation of the accounts and tracking of income & expenditure of funds (using Xero)
  • Oversee the implementation of the fundraising strategy & manage the fundraising team
  • Oversee organisation wide event management

Governance:

  • As safeguarding officer, you are responsible for developing, implementing and reviewing the organisation’s safeguarding policies and procedures to ensure they reflect the most recent laws and regulations.
  • Respond to safeguarding issues, providing advice and support to staff and liaising where appropriate with the Local Authority and other relevant agencies.
  • Named contact for the VSDS Disclosure Scotland scheme, overseeing the PVG scheme for all relevant staff and volunteers involved in regulated work.
  • As data protection officer you will ensure all personal data within Edinburgh City Mission is gathered, stored and processed in line with current legislation.
  • Manage and report on key risks within the organisation.
  • Keep up to date with charitable governance requirements, informing the Board of any changes before they are implemented.

HR

  • Oversee the HR function
  • Ensure strategic alignment between overall vision, finance and people plans

Changes to the above may be made by the Board, with prior notice, in discussion with the post-holder.

PERSON SPECIFICATION

The successful post holder will have evidence of these characteristics:

Essential:

  • Knowledge of Scottish charitable governance
  • Experience of working in the charitable sector
  • Team management experience
  • Able to develop and implement strategic plans but also respond to rapidly changing situations
  • Able to work collaboratively, understanding the complex needs of a range of stakeholders
  • Experience of reporting to a Board of Trustees
  • Evangelical Christian and actively involved in a church
  • Enthusiastic about the aims of Edinburgh City Mission

Preferred:

  • Professional level qualification in one of Finance, IT, HR or other operational area

Background Information:

We are a dynamic and growing Christian charity working to support people who are experiencing deprivation, isolation and exclusion. Two’s Company Befriending Edinburgh is a befriending scheme run as a partnership between Edinburgh City Mission and Linking Lives UK. We want to stimulate and strengthen local churches by equipping them to engage in befriending relationships with isolated older people in their communities.

We are seeking to appoint a full-time Mission Strengthener to work on our Two’s Company Befriending ministry as a project Co-ordinator. This key position offers an interesting and varied workload, with a strong emphasis on volunteer support and networking with church and ministry leaders.

Main Purpose

  • To be responsible for the day to day safe operation of Two’s Company Befriending ensuring that scheme members, staff and volunteers are well supported and equipped
  • Actively pursue the growth of Two’s Company Befriending across the city by establishing more church partnerships

Summary of Duties:

  • Ensure the safe and thorough assessment of the older scheme member and volunteer
  • Carefully allocate scheme members to volunteers
  • Ensure that volunteers receive the necessary support and supervision to flourish within their roles
  • Oversee the safeguarding aspects of the scheme in liaison with Edinburgh City Mission’s safeguarding officer and policy
  • Ensure that policies and procedures are circulated to and followed by all staff and volunteers
  • Liaise with statutory agencies and other voluntary organisations to ensure suitable referrals are maintained and that the scheme is meeting identified needs
  • Liaise with other key local agencies as necessary
  • Work with the Steering Group in addressing ongoing issues and agreeing future strategy
  • Liaise with Linking Lives UK in order to remain up to date with national developments
  • Oversee the training programme for volunteers
  • Coordinate the monitoring of all aspects of the scheme
  • Recruit volunteers from churches in the area of partner churches
  • Assess and develop new opportunities for projects which contribute towards the aims and objectives of the scheme

Administrator

We are seeking to appoint a full-time Administrator. This key position offers an interesting and varied administrative workload, with a strong emphasis on financial administration. Supporting the Office Manager, this is a key role within Edinburgh City Mission.

Summary of Duties:

  • Be the first point of contact for all telephone and email enquiries.
  • Financial Administration: maintain the financial records on Xero accounts, be responsible for preparing payment runs process expenses and track funds, assisting, where required, the fundraising department in preparing information for reports to funders, and preparing monthly Gift Aid claims.
  • Be responsible for the day-to-day management of the referral system to our Foodbanks+ network and Clothesbank+.
  • Assist the Office Manager with HR functions and processes.
  • Assist the Office Manager in the running of the general office.
  • Coordinate the evening Care Van rota (the Care Van is run in partnership with Bethany Christian Trust).
  • Ensure accurate and up=to-date paper and electronic records are kept.
  • Collect data and prepare monthly reports for the CEO/Management Team etc.

The successful applicant will have demonstrable experience of financial administration as well as general administration.

Fundraiser

The role of the Fundraiser is to research grant-makers, develop funding proposals, report back to grant making Trusts and Foundations, and grow a Fundraising team. Edinburgh City Mission’s vision is “to help create a mission movement by stimulating and strengthening the church’s mission in Edinburgh.” The Fundraising Manager will play a key role in furthering this vision by maximizing Trust and Foundation income for Edinburgh City Mission projects.

This position reports to the CEO (or the management team in his absence) who can make changes to the Job Description to fit the requirements of the organisation, in discussion with the post-holder. The position is self-administering and requires an element of flexibility in terms of the shape and direction of the role. It also requires working some evenings and weekends (with time off in lieu).
